FLS Cloud — Effective Date: August 18, 2026

Codeep Inc. ("we", "our", or "us") provides FLS Cloud, a feedlot management application delivered as a web application and as companion mobile apps. This Privacy Policy explains what information FLS Cloud handles, how it is used, and the choices available to you. It covers the FLS Cloud web application, the FLS Cloud mobile apps, and the optional QuickBooks Online integration.

Information We Handle

FLS Cloud is a business application used by feedlot operators. Nearly all information in the system is entered by you or your organization in the course of running your operation:

  • User account information, such as name, email address and role within your organization.
  • Operational records, such as lots, pens, cattle records, rations, load sheets, feed calls, medical and treatment records, and weights.
  • Financial records, such as invoices, expenses, purchases, payments and customer or supplier contact details.
  • Technical information needed to operate the service, such as log entries and error diagnostics.

We do not sell information, and we do not use information held in FLS Cloud for third-party advertising or cross-site tracking.

QuickBooks Online Integration

FLS Cloud offers an optional integration with QuickBooks Online. The integration is off until an administrator in your organization explicitly connects a QuickBooks Online company through Intuit's authorization screen. If you never connect, none of what follows applies to you.

What the integration is authorized to do

When you connect, FLS Cloud requests a single Intuit scope, com.intuit.quickbooks.accounting, and uses it only for the purposes below.

QuickBooks Online data How FLS Cloud uses it
Company information (name, country) Read once when connecting, to label the connection and to determine whether Canadian sales tax handling applies.
Chart of accounts, tax codes and tax rates Read so an administrator can choose which income account, expense account and tax code exported documents should use, and so FLS Cloud can verify that the tax rate matches the one your invoices were billed at.
Customers, vendors and items Read to match your existing records. Created only when no matching record exists, so that an exported document has something to reference.
Invoices and bills Created from the FLS Cloud invoices and purchases you select for export. Deleted in QuickBooks Online only when you delete the originating record in FLS Cloud.
Payments Read only. Payments recorded in QuickBooks Online are brought back into the FLS Cloud ledger for invoices you have opted in. FLS Cloud never creates, edits or deletes payment records in QuickBooks Online.

What we store

  • Encrypted OAuth access and refresh tokens, plus the QuickBooks company identifier, company name and country.
  • A synchronization log recording each export or import attempt, its outcome, and any error returned by Intuit. This exists so your administrator can see what happened and why.
  • The identifiers of the accounts and tax code your administrator selected.

Disconnecting

An administrator can disconnect QuickBooks Online at any time from the QuickBooks Online Interface screen in FLS Cloud. Disconnecting revokes the tokens with Intuit and stops all further access. Documents already exported remain in your QuickBooks Online company, because they are your accounting records; removing them is done in QuickBooks Online.

Mobile Apps and Bluetooth

The FLS Cloud mobile apps use Bluetooth only to discover and connect to supported feedlot equipment, such as compatible scale hardware. Bluetooth is not used to track location, identify physical movements, or collect unrelated nearby device information. Bluetooth access can be disabled in your device settings, though equipment features will not work without it.

Where offline mode is available, some data is stored locally on the device so work can continue without a connection, and eligible changes are synchronized when connectivity returns.

How We Use Information

  • To provide FLS Cloud features and feedlot management workflows.
  • To synchronize authorized data between the mobile apps, the web application and, where connected, QuickBooks Online.
  • To maintain, troubleshoot, secure and improve the reliability of the service.
  • To meet legal and regulatory obligations.

Information Sharing

Information is shared only as needed to provide the service — for example with the infrastructure providers that host the application and its databases, and with Intuit when you have connected QuickBooks Online — or where required to comply with legal obligations, protect the security of the service, or support your organization's authorized use of the system.

Data Storage, Security and Retention

FLS Cloud stores data on secure servers hosted in Canada. Credentials and integration tokens are stored encrypted. We apply reasonable technical and organizational safeguards to protect information from unauthorized access, loss, misuse or alteration.

Your organization's data is retained for as long as the account is active. On termination, data is retained only as long as needed to complete wind-down and to meet legal obligations, and is then deleted.

Your Choices and Rights

For access, correction, export or deletion of data held in FLS Cloud, contact your organization's administrator, or contact us using the details below. Where applicable law grants you additional rights over personal information, we will honour those rights.

Children's Privacy

FLS Cloud is intended for business use and is not directed to children. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date.
